About the role:
This role sits within the NewGen Matrix Program Management Office (PMO) and provides governance, reporting and coordination support across the program. The role assists coordination across leadership, delivery streams and stakeholders, ensuring efficient program operations and high-quality executive outputs.
What you will do:
- Provide end-to-end secretariat support for governance forums, including agenda coordination, papers, minutes and action tracking
- Prepare high-quality written materials such as briefs, correspondence and reports
- Manage calendars, meeting scheduling and room bookings
- Monitor and triage shared inboxes, ensuring timely coordination and escalation
- Maintain accurate records in records management systems, in line with recordkeeping requirements
- Develop presentations and communications aligned to endorsed messaging
- Support stakeholder engagement activities, workshops and presentations
About you:
We are seeking a proactive and highly organised PMO professional who thrives in a fast-paced environment and can manage competing priorities effectively.
You will demonstrate:
- Experience in project support or PMO roles within complex programs
- Strong governance and reporting capabilities
- Excellent written communication skills, including brief and report writing
- Strong organisational and time management skills with high attention to detail
- Ability to synthesise information from multiple sources and produce clear outputs
- Experience with record management systems
- Advanced Microsoft Office skills
- Relevant tertiary qualifications or equivalent experience
