Join the Infusion Lounge team at the Royal Newcastle Centre, where you’ll support patients and clinicians through efficient administration and exceptional customer service. This position is targeted for Aboriginal and Torres Strait Islander peoples.

 

Where You’ll Be Working
You will be based in the Infusion Lounge at the Royal Newcastle Centre, working closely with nursing staff and clinicians to support the smooth operation of the unit. This role is 9 days per fortnight, with the following schedule:

  • Week 1: Monday – Friday (5 days)

  • Week 2: Monday – Thursday (4 days)
    You will be part of a supportive and collaborative team where your organisational skills, attention to detail, and proactive approach will make a real difference to patient care.

About the Role
As an Administrative Officer Level 3, you will provide a wide range of administrative and clerical support, including:

  • Answering phone calls and managing patient enquiries professionally
  • Booking appointments for patients requiring infusions and the “Out and About” program
  • Maintaining a generic email inbox and coordinating correspondence with clinicians
  • Preparing and collating patient charts and liaising with staff to follow up on paperwork
  • Performing general administrative duties to support smooth unit operations 

    This role requires a proactive, “can do” attitude, excellent time management, and the ability to work both independently and collaboratively. You’ll receive hands-on training from experienced staff, access to online learning modules via My Health Learning, and ongoing support to ensure your success.

About You
We are seeking a motivated and detail-oriented professional with a proactive “can do” attitude. You are highly organised, able to prioritise competing tasks, and excel at problem-solving in a fast-paced environment. You work well both independently and as part of a team, building positive relationships with colleagues and clinicians alike. Strong communication skills, both written and verbal, are essential, as is the ability to manage sensitive information with discretion. You take pride in delivering accurate, timely, and high-quality administrative support, ensuring smooth operations and a positive experience for patients and staff. Familiarity with medical terminology and hospital systems, along with a keen attention to detail, will enable you to thrive in this role and contribute meaningfully to the Infusion Lounge team.

Key Accountabilities

  • Deliver high-quality customer service as the first point of contact via phone, email, and in-person interactions
  • Prepare financial, data, and correspondence reports as required
  • Coordinate incoming and outgoing correspondence, telephone calls, diary appointments, and emails, ensuring deadlines and priorities are met
  • Provide support for data entry, recruitment, payroll, purchase requisitions, invoicing, and record-keeping
  • Maintain accurate records in line with State Records Management requirements
  • Establish and maintain effective working relationships across all levels of the organisation
  • Model behaviours aligned with the HNE Health Values Charter, NSW Health Code of Conduct, and Closing the Gap strategy
  • Ensure workplace health and safety responsibilities are upheld
