About the team:
The Multiple Sclerosis (MS) team at the John Hunter Hospital is dynamic group of multidisciplinary professionals working to support people with neuro-immunological diseases. It is led by Professor Jeannette Lechner-Scott, and members of the team are situated in both the JHH and Hunter Medical Research Institute (HMRI). The Clinical Trials group are currently involved in several Phase 2 to 4 international pharmaceutical trials as well as national Collaborative Research Group trials with both MRFF and industry funding.  This is a part time 16h/week position and supporting role to help managing the ever increasing administrative load associated with clinical trials. There is a possibility of renewal after one year.



About the role:
The person in this role will provide administrative assistance to the research team, in particular with regards to planning and minuting meetings with stakeholders, administrative duties related to financial aspects of research and pharmaceutical trials as well as invited speaker engagements and paid contracts for the lead investigators. This may include but is not limited to raising purchase requisitions, paying invoices, receipting, and record keeping. It may also involve collecting financial documents from multiple sources and organising in a single electronic data file (scanning) for the purposes of reporting or auditing.  

Other administrative duties associated with clinical trials may include information/document gathering for all research and pharmaceutical trials both in REGIS (NSW Health) and in RIMS (UoN) in a timely manner, which may include typing, obtaining signatures, typing reports and amendments, basic data entry, and assistance with scheduling appointments, preparing required documents (printing for hard copy signatures or entering DocuSign information) and notifying all required parties of the requirements. The person will be supported by a team of senior research coordinators, the lead investigator and the clinical secretary when required.



We are seeking a team member who:

  • Is enthusiastic and confident in their verbal and written communication skills
  • Enjoys being part of a collaborative team
  • Is organised and understands the need for attention to detail
  • Has knowledge of financial management systems (ie procurement) will be an asset to this job.

The person will be supported by a team of other senior trial coordinators and researchers, and the clinical secretary who has advanced knowledge of many hospital systems such as iPMS for the purposes of bookings.
