Located in Tamworth, TRRH is the largest healthcare facility in the New England North West region and a major referral hospital within Hunter New England Local Health District. Working closely with the General Manager, senior leaders and key stakeholders, you’ll contribute to the delivery of high-quality, patient-centred healthcare for the local community.
About the Role
Reporting directly to the General Manager, you will provide high-level executive, administrative and secretariat support to ensure the General Manager’s Office operates efficiently and effectively.
No two days will be the same. You’ll be responsible for managing complex calendars and correspondence, preparing high-quality reports, briefs and Ministerial responses, coordinating meetings and committees, maintaining administrative systems and records, and acting as a key point of contact for internal and external stakeholders.
You’ll also provide administrative oversight and coordination across the hospital, supporting senior leadership and helping facilitate efficient service delivery.
Key responsibilities include:
- Managing and monitoring the General Manager’s diary, prioritising competing demands and tracking important deadlines and actions.
- Preparing accurate, concise and high-quality reports, briefs, correspondence and Ministerial documentation for a range of audiences.
- Providing high-level secretariat support for meetings and committees, including scheduling, agenda and minute preparation, document distribution, venue and travel arrangements, and audiovisual/teleconferencing coordination.
- Developing and maintaining effective administrative systems to support consistent and efficient service delivery.
- Acting as a key point of contact for enquiries and developing strong relationships with internal and external stakeholders.
- Maintaining confidentiality and handling sensitive information with diplomacy, professionalism and discretion.
- Maintaining accurate electronic records and information in accordance with NSW records management requirements.
- Providing support and advice regarding payroll-related enquiries where required.
- Supporting the day-to-day administrative coordination of Tamworth Rural Referral Hospital.
- Demonstrating a commitment to HNE Health values, the NSW Health Code of Conduct, cultural respect and the Closing the Gap strategy.
- Promoting a safe workplace by identifying and reporting hazards, risks and incidents and complying with relevant health and safety policies and procedures.
About You
You are an accomplished executive support professional who is comfortable working with senior leaders and managing multiple priorities in a complex environment.
You will bring:
- Exceptional organisational and time-management skills, with the ability to anticipate needs and proactively manage competing priorities.
- Excellent written and verbal communication skills, with confidence preparing high-level correspondence, reports and briefs.
- Strong attention to detail and a commitment to producing accurate, high-quality work.
- Sound judgement and the ability to manage confidential and sensitive information appropriately.
- Strong interpersonal and stakeholder management skills, with the ability to build positive relationships across all levels of an organisation.
- Excellent problem-solving skills and the ability to work independently and confidently in a fast-paced environment.
- A proactive, adaptable and solutions-focused approach.
- The ability to remain calm, professional and responsive when priorities change.
Most importantly, you’ll be someone who can anticipate what’s needed, stay one step ahead and provide trusted support to the General Manager and senior leadership team.
This is an opportunity to make a meaningful contribution to healthcare delivery across the New England North West region while working alongside experienced and committed health professionals. As Executive Assistant to the General Manager, you’ll have the opportunity to gain broad exposure to hospital operations, work closely with senior leadership and make a direct contribution to the smooth and effective running of Tamworth Rural Referral Hospital.
