Nepean Hospital is a teaching hospital that provides tertiary referral services in emergency care, coronary care, diagnostics, gynaecology, paediatric, neonatal intensive care/ICU, maternity, mental health, rehabilitation, and surgery. Our Supportive and Palliative Care team is seeking to engage a highly reliable Administration Officer to take on the role of Department Secretary, commencing in March 2026 for 18 weeks (extension may be provided). This important role will provide high-level confidential administrative support to ensure the smooth and efficient operation of the service. Key duties include diary management, meeting coordination, preparation of minutes and correspondence, and the management of records, along with a range of other administrative duties.

The position also involves communicating relevant information regarding administrative policies and procedures, as well as providing support, supervision, orientation, and training to other administrative staff within the service. By maintaining professionalism, accuracy, and discretion, you will play a vital role in supporting both staff and patients in a compassionate care environment.

What you will bring to the role:

  1. Demonstrated capacity to provide effective and professional administrative support, in confidence and with discretion within a busy and complex office environment.
  2. Well-developed verbal and written communication skills and demonstrated ability to problem solve and use professional judgement.
  3. Demonstrated proficiency in the use of computer applications including Content Manager, Outlook, Word, Excel (extract, export and format) and rostering, recruitment, and procurement systems.
  4. Proven experience in developing, implementing and evaluating quality improvement processes for administrative services and promoting a culture of continuous improvement.
  5. Experience in preparing minutes and agendas with the ability to take minutes.
  6. Demonstrated ability to work with changing priorities and demands, work independently and as part of a team.
  7. Demonstrated strong organisational skills with ability to prioritise tasks whilst under sustained pressure and maintain accuracy and attention to detail.
  8. Driver’s licence (P2 acceptable) and willingness to use same for work purposes.
