The Opportunity
We are seeking a dedicated Administration Officer to join our team. This role is the first point of contact for patients, visitors, and staff, providing essential administrative and customer service support. The successful candidate will play a vital role in ensuring smooth day-to-day operations, maintaining accurate records, and supporting both clinical and non-clinical staff to deliver high-quality care.
Key Accountabilities
- Provide professional, responsive customer service in person, via phone, and email.
- Maintain accurate patient records, admissions, discharges, transfers, and billing using electronic medical record systems.
- Deliver administrative support including ordering, invoicing, correspondence, and filing.
- Implement and maintain organised systems for documentation and information management, ensuring compliance with privacy and confidentiality obligations.
- Assist with inter-hospital transfers, patient transport arrangements, and preoperative coordination.
- Support meetings through agenda preparation, minute-taking, and arranging video/teleconferencing facilities.
- Record and follow through on maintenance requests for the ward/unit.
- Prioritise workload effectively in a busy and demanding environment while maintaining accuracy.

- Balancing operational priorities while maintaining patient-focused service.

You are a professional, proactive, and highly organised individual who thrives in a fast-paced environment. You have a strong commitment to providing excellent customer service and understand the importance of accuracy, attention to detail, and confidentiality in a clinical setting.
You are confident using computer systems, electronic medical records, and office software to support efficient and effective operations. You communicate clearly, respectfully, and effectively with patients, families, and colleagues, ensuring a positive experience for all.
You are collaborative, reliable, and adaptable, able to manage competing priorities while maintaining a high standard of work. You demonstrate initiative, problem-solving skills, and the ability to work independently as well as part of a team.
