Join the Hunter New England (HNE) Menopause Hub, a specialised multidisciplinary team delivering compassionate, evidence-based care to people experiencing severe or complex menopause symptoms. Our service provides both face-to-face and virtual appointments to patients across the Hunter New England, Mid North Coast and Northern NSW regions, ensuring accessible, high-quality care for those who need it most.

As the first point of contact for many of our patients, you'll play a vital role in creating a welcoming, supportive experience while keeping our busy outpatient clinic running smoothly.

 

About the role

As an Administration Officer, you'll provide a broad range of administrative and reception support to clinicians and patients. Working in a fast-paced outpatient environment, you'll help coordinate appointments, manage communications and ensure the efficient day-to-day operation of the Menopause Hub.

Your responsibilities will include:

  • Welcoming patients and providing front reception services for both face-to-face and virtual appointments.
  • Managing appointment scheduling, reminder communications and patient enquiries.
  • Processing Medicare billing and supporting outpatient clinic administration.
  • Managing shared email and referral inboxes, directing enquiries to the appropriate clinicians.
  • Assisting with communication between specialists, referring clinicians and the multidisciplinary team.
  • Coordinating supplies, equipment and stock, including ordering and invoice processing.
  • Providing general administrative support, including mail management and assisting clinicians with day-to-day administrative tasks.

 

About you

We're looking for someone who enjoys working in a busy healthcare environment and is passionate about delivering outstanding customer service.

You'll bring:

  • Experience working in a busy health or medical clinic.
  • Excellent organisational skills with the ability to manage multiple priorities.
  • Strong communication and interpersonal skills.
  • A calm, compassionate and friendly approach when supporting patients and colleagues.
  • Well-developed computer skills, including experience using Microsoft Office and electronic databases.
  • A willingness to learn NSW Health systems and processes.

What you'll be doing

Provide an efficient and effective administrative/clerical service to support the provision of high-quality clinical services across the multidisciplinary Specialist Palliative Care Hub.
