In this role, you will be at the heart of patient care, managing reception duties, maintaining accurate medical records, handling data entry with precision, and responding to phone enquiries with professionalism and empathy. What you will bring to the role

  1. Demonstrated strong administrative and organisational skills developed in busy hospital outpatient settings, with the ability to work under pressure, prioritise high volume clinic demands, and meet strict scheduling and service deadlines while maintaining accuracy.
  2. Extensive experience supporting outpatient services by coordinating patient bookings, managing multidisciplinary clinic schedules, preparing documentation, and ensuring patients are correctly registered and ready for their appointments. Skilled in managing competing enquiries from patients, carers, and clinical teams, and confident in multitasking across reception, appointment management, and patient flow tasks.
  3. Demonstrate ability to adaptable to rapidly changing clinic needs, committed to maintaining smooth operations, and focused on delivering a positive and efficient patient experience in a fast paced hospital environment.
  4. Demonstrated knowledge of Medicare eligibility requirements, MBS item numbers and correct billing practices, including an understanding of Activity Based Funding (ABF) and the importance of accurate revenue collection within NSW Health outpatient services.
  5. Demonstrate excellent written and verbal communication skills, including your ability to communicate effectively with a diverse range of stakeholders in an outpatient setting such as patients, carers, clinicians, administrative teams, and external service providers, patient centred customer service, including when supporting individuals with complex health needs.
  6. Demonstrated initiative to solve problems, ability to prioritise, coordinate and time manage daily tasks with minimal supervision.
  7. Sound computer literacy and experience with the MS Office suite experience using Windows based software including databases, appointment scheduling systems, and proven typing skills.
  8. Demonstrate ability to learn new processes, ability to be flexible and display initiative.
