Travel and Support Officer is responsible for providing timely and accurate travel and business support services and contribute to the efficient and effective functioning of the Financial & Corporate Services Branch at the Ministry of Health.
Travel and Support Officer – Crown Clerk Grade 3/4- starting salary from $84,659 - $92,701 plus Super, with a 35-hour work week.
What you’ll be doing
- Provide high-quality travel expense and business support services to the Ministry of Health and other stakeholders, including coordinating travel requests, preparing detailed itineraries, and reviewing staff travel expense claims, ensuring compliance with organisational policies and procedures.
- Check and validate transactions, and complete monthly reconciliations and journal preparation for travel accounts. This includes ensuring invoices, payments, credits, cancellations, and amendments are accurately allocated to the correct cost centres in accordance with policy and procedures, as well as identifying, investigating, and resolving any discrepancies.
- Provide advice on cost-effective travel options by interpreting policies and supplier terms and conditions, calculating travel costs, and negotiating outcomes that balance traveller needs with value for money and policy compliance.
- Deliver a high standard of customer service to internal and external stakeholders by responding to enquiries, resolving organisational challenges in a timely manner and escalating matters where appropriate.
- Support continuous improvement initiatives by reviewing and enhancing travel policies, processes, and systems to improve efficiency, effectiveness, and service delivery.
- Provide a broad range of administrative support services, including records management, correspondence, meeting coordination and minute-taking, document preparation and distribution, conference support, and data entry.
- Support operational continuity by providing coverage across other functional areas within the team as required.
About you:
We are seeking motivated and committed individuals who can support the work of NSW Health with:
- Demonstrated experience in providing high quality transactional services in a high paced environment including end to end travel services, and/or support functions, with sound knowledge in reviewing transactions, undertaking reconciliations and preparing journals.
- A willingness and commitment to support operational continuity by providing coverage across other functional areas within the team as required.
- Sound oral and written communication, interpersonal, negotiation and customer service skills and the ability to liaise effectively with customers and stakeholder to provide information, advice and recommendations.
- Maintain a professional, performance driven, innovative, responsive, and supportive approach that fosters a positive team environment.
- Successfully manage relationships within the Ministry of Health and its customers by exercising sound judgement and discretion.
