The Executive Support Officer role supports the Executive Director in managing compliance with the NSW Tobacco and Vaping Legislation, NSW Tobacco Licensing Scheme and other regulatory frameworks, while also supporting centre-wide corporate functions including financial management, performance reporting, contracts, people and culture, and business planning.

 

This role works closely with other senior executives across the Centre and contributes to the coordination of briefing materials, governance processes and regulatory activities within a complex and fast-paced government environment.

 

Crown Clerk 5/6, starting salary from $99,938 - $110,271 plus Super and annual leave loading, with a 35-hour work week, work location- 1 Reserve Road, St Leonards

What you'll be doing   

As an Executive Support Officer, you will be responsible for providing a comprehensive range of high-level project and administrative support functions to the CRE Executive team to support the timely delivery of business objectives to a high quality and standard. 

Key responsibilities include, but are not limited to: 

  • Manage sensitive and confidential information with discretion, exercising sound judgement while supporting executive decision making and regulatory activities. 

  • Provide diary, meeting and inbox management for senior executives. 

  • Coordinate travel and accommodation arrangements for the Executive team in accordance with NSW Health travel policies. 

  • Proactively manage the process of correspondence, reports and briefing requests to meet critical deadlines. 

  • Assist with the preparation and coordination of briefing materials, reports, presentations and governance meeting papers. 

  • Provide support and mentoring across the other administrative roles within the Centre to monitor, implement and evaluate administrative practices, systems or other initiatives.

  • Taking a continuous improvement approach to optimise efficiency and deliver quality outcomes for the Centre. 

  • Provide ad hoc administrative and project support to the Executive team as required.  

 

About you  
We are seeking motivated and committed individuals who can support the work of NSW Health with:   

  • Proven ability to work in a fast paced and dynamic environment, demonstrating flexibility and the ability to adapt quickly, reprioritise tasks and respond to changing operational and executive priorities. Demonstrated ability to exercise discretion and maintain confidentiality when dealing with sensitive issues and executive matters. 

  • Qualifications such as Certificate IV level in Business Administration Support (or similar) and/or substantial experience in administrative support positions with a demonstrated capacity to work effectively at the executive level and evidence of continued development. 

  • The ability to build and maintain relationships with key stakeholders. 

  • A growth mindset, and commitment to continuous learning and personal development. The ability to work collaboratively in a dynamic team environment and contribute positively to team outcomes.

  • Experience supporting senior executives or working within a government, regulatory or compliance environment would be highly regarded.
