Employment with Mid North Coast LHD requires candidates to hold a valid authority to work in Australia (Aust Work Rights Visa). 
Applicants are advised that this position is not suited to remote work. All duties are to be undertaken on site at either the Port Macquarie or Coffs Harbour office.


About the Role
Mid North Coast (MNC) Virtual Care provides timely, patient-centred virtual health services aimed at reducing avoidable emergency department presentations and hospital admissions and improving continuity of care through early intervention and care navigation.
MNC Virtual Care operates in a dynamic, high-volume environment similar to a call centre, particularly during peak periods. The Administration Officer Level 3 plays a key role in ensuring the smooth day-to-day operation of the service by providing efficient, accurate, and responsive administrative and customer service support.
This role involves managing a high volume of inbound calls, patient registration and data entry, reconciliation tasks, and responding to enquiries, while maintaining confidentiality and compliance with Mid North Coast Local Health District policies and procedures.

 

What You’ll Be Doing
•    Providing high-quality administrative support to the Virtual Care team
•    Managing a high volume of phone calls and enquiries in a fast-paced environment
•    Registering patients and performing accurate data entry across multiple systems
•    Using Microsoft Office applications, including Outlook, Excel and teams, to support reporting and administration
•    Reconciling data and maintaining accurate records
•    Adhering to privacy, confidentiality, and workplace policies and procedures
•    Supporting team members and contributing to a professional, patient-focused service

 

About You
You are a proactive and organised administrative professional who thrives in a busy environment and enjoys providing excellent customer service. You are calm under pressure, adaptable, and comfortable using multiple systems simultaneously.


You will demonstrate:
•    Experience in a customer service or administrative environment
•    Previous contact centre experience (desirable but not essential)
•    Proven ability to manage a high volume of calls and administrative tasks
•    Strong attention to detail with excellent problem-solving skills
•    Well-developed verbal and written communication skills, with a professional phone manner
•    Empathy and the ability to communicate effectively with diverse customers and stakeholders
•    Proficiency in Microsoft Office applications, particularly Outlook, Excel and teams
•    Confidence in learning and navigating new systems quickly
•    Strong organisational skills, with the ability to prioritise and multitask
•    A professional work ethic and commitment to high standards of conduct
•    Ability to work both independently and collaboratively within a team
•    Understanding of confidentiality, privacy, and compliance requirements
•    Experience following policies, procedures, and structured workflows
