  • The role offers the chance to shape how waitlist information is captured, validated, and maintained across systems such as WLCOS, PAS, and eMR Scheduling. This opens space to explore new methods, technologies, and workflows that elevate data accuracy and reliability across the organisation. 
  • By ensuring timely and precise waitlist submissions, the Waitlist Manager can influence broader patient‑flow outcomes. This includes identifying bottlenecks, improving scheduling coordination, and supporting equitable access to surgical and procedural care. 
  • Working closely with Medical Officers, Peri‑operative Services, administrative teams, patients, and carers creates opportunities to strengthen communication channels, foster trust, and co‑design improvements that benefit both staff and patients. 
  • The position provides room to identify gaps in current processes, recommend enhancements to digital workflows, and contribute to long‑term system optimisation that aligns with NSW Health policies and organisational goals. 
  • With direct involvement in communication with patients and carers, the role enables meaningful contributions to transparency, expectation‑setting, and overall patient experience while they await procedures.

  • Demonstrates deep understanding of WLCOS, PAS, eMR Scheduling and related NSW Health digital platforms, with the ability to maintain high‑quality, policy‑aligned data and identify opportunities for improved accuracy and consistency. 
  • Able to interpret complex waitlist information, recognise trends or discrepancies, and proactively address issues that impact scheduling, reporting, or patient flow. 
  • Comfortable working with Medical Officers, Peri‑operative Services, administrative teams, patients, and carers, using clear and empathetic communication to support shared understanding and timely decision‑making. 
  • Approaches waitlist management with sensitivity to patient needs, ensuring transparency, responsiveness, and respectful engagement with individuals awaiting procedures. 
  • Brings a continuous‑improvement approach, seeking ways to streamline workflows, strengthen compliance with NSW Health guidelines, and enhance the overall efficiency and reliability of waitlist operations. 
 

Selection Criteria

  • Describe your experience managing elective surgery waitlists and booking services within a hospital environment. How have you ensured compliance with NSW Health policies, patient classification requirements, and waiting time targets while maintaining a patient-centred approach?
  • Provide an example of how you have led and managed an administrative team responsible for high-volume patient bookings or waitlist activities. Include how you approached recruitment, rostering, staff development, performance management, and the resolution of workplace issues to achieve service objectives.
  • Describe a time when you identified an opportunity to improve a waitlist, booking, or patient administration process. How did you engage key stakeholders, implement the change, and measure the impact on patient access, efficiency, or service delivery?
  • Give an example of how you have used patient administration systems, waitlist management tools, or reporting systems to monitor performance, identify risks, and support decision-making. How did you communicate outcomes and recommendations to senior management, clinicians, and other stakeholders?
