Our pharmacy team delivers services to inpatients, outpatients, clinics, and healthcare facilities throughout Newcastle and across the wider Hunter New England District.

Administrative and Secretarial Support to the Director of Pharmacy
Provide comprehensive administrative and secretarial assistance to the Director of Pharmacy, including managing correspondence, scheduling appointments, coordinating meetings, and preparing reports, briefs, and other documentation.

  • Pharmacy Department Administration Coordination
    Oversee the administrative functions of the Pharmacy Department by supervising the Pharmacy Administration Officer, managing shared reception duties, and ensuring efficient office systems, procedures, and document management. Responsibilities also include handling pharmacy paperwork, maintenance requests, non-pharmaceutical billing, meeting organization, and mail processing.
  • You will manage equipment registers, assist with staff recruitment, onboarding, WHS activities, rosters, leave, and payroll.You will support the Operational Deputy, provide secretarial duties for meetings and related tasks including video/teleconferencing facilities to support affective conduct of meetings. You will assist with the Pharmacy human resources – Health Roster Data entry, assisting in recruitment and on boarding.

     

About you:

We are seeking a proactive candidate who brings both professionalism and autonomy to the role. You will be someone who thrives in a administrative position, capable of not only delivering your own workload but also guiding and supporting junior administration staff.

  • Experienced in delivering high-quality administration services, ideally in health or a similarly complex environment.

  • Demonstrated ability to work independently while mentoring and supporting junior administration staff.

  • Confidence in working independently, exercising initiative, and solving problems without needing constant direction.

  • Skilled in IT systems, with exposure to Sara, Health Roster, Oracle, payroll functions, and executive support highly regarded.

  • Proven ability to manage competing priorities with strong attention to detail, accuracy, and organisational skills.

  • An effective communicator who can build strong working relationships across multidisciplinary teams.

  • The ideal candidate will have great attention to detail, good processes, strong organisational skills and an eagerness to learn will succeed. Able to build rapport and networking as pharmacy have a lot of interaction with all services across the campus.
     

An eligibility list will be created for future permanent full or part time and temporary full or part time vacancies.

This position is full time; however, part time/job share arrangements may also be considered.
