Lead the team that keeps medical services running at Manning Base Hospital, playing a critical role in coordinating a safe, compliant and sustainable medical workforce that supports exceptional patient care every day. In this dynamic leadership role, you'll oversee medical rostering, recruitment and workforce operations, ensuring the right doctors are in the right place at the right time while driving governance, service excellence and continuous improvement.
 

 

About the Role
Medical Administration at Manning Base Hospital plays a critical role in ensuring the hospital maintains safe, reliable and compliant medical workforce coverage. Reporting to the Manager, Medical Administration, this position supports the coordination and delivery of end-to-end medical administration services across junior and senior medical staff.
 

Key Responsibilities

  • Coordinate and manage medical rostering, leave management and recruitment processes
  • Provide day-to-day leadership, direction and support to Medical Administration staff, audit clerks and secretaries
  • Lead roster meetings to ensure safe, compliant medical coverage across junior and senior specialties
  • Manage correspondence relating to recruitment requests, secondary employment approvals, and travel and accommodation approvals
  • Coordinate locum engagement and oversee contracting arrangements
  • Review and approve VMO and locum claims, ensuring compliance with awards, contracts and NSW Health policy
  • Maintain strong governance, audit readiness and financial stewardship
  • Build effective working relationships with senior clinicians, VMOs, executive leaders, vendors and agencies
  • Identify, manage and escalate workforce, compliance and financial risks as required
     

About You
You are an experienced medical administration professional with strong knowledge of medical rostering, payroll and workforce governance. You bring credibility when working with senior clinicians and demonstrate discretion, integrity and professionalism when handling sensitive information.
You will demonstrate:

  • Proven experience in medical rostering and payroll assurance, including awards, allowances and on-call arrangements
  • Strong people leadership skills, including coaching, workload allocation and performance conversations
  • Clear, composed written and verbal communication, particularly for sensitive approvals and governance matters
  • Ability to manage competing priorities and exercise sound judgement under pressure
  • High ethical standards, confidentiality and attention to detail
     

Strongly Preferred

  • Experience in medical credentialing and recruitment workflows (AHPRA, visas, WBA, onboarding)
  • Systems experience with HealthRoster, StaffLink, ROB or similar platforms
  • A service improvement and risk-management mindset

What you'll be doing

Lead and manage the day-to-day supervision of the Medical Administration Staff, VMO Audit Clerks and Staff Specialist Secretaries, to ensure provision of high-quality customer service to support the effective operations of the Lower Mid North Coast Sector.
