About the Role:
We are seeking a motivated and detail-oriented Administrative Support Officer to join the Family Cancer Service, part of the Cancer Genetic Service based at Hunter Genetics, Waratah Campus. In this specialised role, you’ll play an important part in supporting individuals and families referred to the service for assessment of potential hereditary cancer risks.
Working closely with the Genetic Counsellors and the broader multidisciplinary team, you’ll help ensure the smooth and efficient processing of new referrals, from gathering family history information to coordinating appointments and maintaining accurate medical records. This position offers a rewarding opportunity to contribute to vital healthcare work that can change lives.
About Us:
The Cancer Genetic Service is located within the Hunter Genetics Building on the Waratah Campus, at the corner of Turton and Tinonee Roads. We operate Monday to Friday, with flexible and negotiable working days (18 hours per fortnight).
You’ll be joining a supportive, professional, and encouraging team who work collaboratively to provide compassionate and high-quality care to patients and families across the region. The workplace culture is friendly, respectful, and focused on teamwork and learning. This is an onsite position, and no travel is required.
What You’ll Be Doing:
As part of your role, you will:
- Process new referrals for the Family Cancer Service.
- Contact clients and collect detailed family history information.
- Confirm cancer diagnoses and obtain relevant documentation.
- Prepare and send Release of Information forms.
- Organise appointments and maintain accurate medical records.
- Enter and manage data in service databases.
- Liaise with Genetic Counsellors regarding additional information or follow-up requirements.
This position involves a balance of independent and collaborative work, offering meaningful contact with patients and the satisfaction of supporting critical healthcare outcomes.

- Experience documenting information in medical records.
- Familiarity with medical terminology and working within a hospital or healthcare environment (desirable).
- Experience collecting medical or family history information (advantageous, but training will be provided).
- A commitment to accuracy, confidentiality, and teamwork.

You will be supported by:
- The Senior Genetic Counsellor, who will provide orientation and one-on-one training.
- Genetic Counsellors, who will review your work and provide ongoing feedback as you learn the fundamentals of collecting and documenting cancer family histories.
- Administrative staff and the Data Manager, who will assist you with database use and service procedures.
- Training and Development Includes:
- Education on the Genetics Database and cancer family history documentation.
- Regular feedback and mentoring from senior clinicians.
- Ongoing learning through experience and exposure within a specialised service.

Additional Information:
- An eligibility list will be created for future permanent part time and temporary part time vacancies.
- To be eligible for permanent employment in this position you must be an Australian Citizen, or a permanent resident of Australia, or a New Zealand citizen with a current New Zealand Passport.
