What you'll be doing
The Executive Assistant within Digital Health Services (DHS) supports the Northern Sydney and Central Coast Local Health Districts. Reporting to the Executive Director DHS and Senior Managers, the role provides high-level, confidential administrative and secretarial support, while acting as a key point of contact for internal and external stakeholders. Responsibilities include coordinating committees, preparing agendas and minutes, managing executive correspondence, diaries, travel, procurement, and records, as well as overseeing administrative functions. The position also contributes to strategic and operational planning, works on various projects arising from the Office of the EDDH, and engages daily with executive offices across the LHD, other health agencies, vendors, and key district stakeholders to ensure efficient, high-quality operations in a complex environment.

Candidates will need to meet the following criteria:

  1. Extensive experience providing high-level administrative support to executives and senior management, including the effective coordination of complex diaries and business records.
  2. Highly developed interpersonal, written, and digital communication skills, with exceptional attention to detail and strong written expression. Experience in using electronic records management systems such as Content Manager.
  3. Proven ability to manage competing priorities, meet tight deadlines, and coordinate workflows across teams. Ability to work autonomously, exercising initiative, discretion, and sound judgement in a fast-paced environment.
  4. Advanced proficiency in Microsoft Office applications, with the ability to produce high-quality presentations, reports, correspondence, and meeting documentation.
  5. Demonstrated expertise in coordinating meetings, conferences, and seminars, including agenda preparation and accurate minute taking.
  6. Strong customer service focus, with the ability to build and maintain effective relationships with diverse stakeholders, including contractors and vendors.
