About The Position:


John Hunter Hospital’s Cardiology Clinical Service Unit is seeking a dedicated and experienced Executive Assistant & Team Leader to support our Head of Department and lead a team of 14 administrative staff across multiple units, including the Cardiac Cath Lab and Diagnostic Centre.

In this dynamic and fast-paced role, you will be the central point for administrative coordination—covering everything from front desk duties to clinical typing, managing complex scheduling, and providing secretarial support. You will also play a key role in organizing meetings, managing finances, and supporting our advanced trainees.

  • Provide executive support to the Head of Department including clinical typing and secretarial tasks

  • Lead, manage, and support a diverse administration team spanning Cardiology CSU, Cardiac Cath Lab, and Diagnostic Centre

  • Coordinate scheduling of clinic appointments and manage cancellations efficiently

  • Cover front desk reception during breaks to maintain smooth operations

  • Manage RIMS (Resource and Information Management System) to ensure accurate data handling

  • Organize and collate Agendas and Minutes for Staff Specialist meetings

  • Handle finance and revenue-related tasks including Trust documentation

  • Coordinate invitations and logistics for Grand Rounds and Morbidity & Mortality meetings

  • Provide administrative support to advanced trainees within the unit

 

About You:

  • Previous experience in a healthcare or hospital administrative setting is highly preferred

  • Strong typing and computer skills, with the ability to manage clinical documentation accurately

  • Exceptional customer service and communication skills

  • Excellent organisational skills with the ability to manage multiple priorities under pressure

  • A positive, proactive attitude and a genuine team player

  • Ability to adapt and learn hospital systems quickly
