About the Role:
Hunter New England Local Health District is seeking a highly organised and motivated Admissions Officer Level 3 to join the Admissions and Waiting List team at The Maitland Hospital.
In this role, you will provide essential administrative and clerical support to ensure the smooth and efficient management of patient admissions and surgical waitlists. Working closely with the established Admissions and Waitlist teams, you will play a key role in supporting timely, accurate, and patient-focused elective surgery scheduling.
This is a fast-paced and rewarding role where attention to detail, strong communication, and the ability to manage competing priorities are essential.

What You’ll Bring
To be successful in this role, you will demonstrate:
- Relevant administrative qualifications and/or equivalent experience in a similar role
- Strong skills in planning, prioritising, and organising your workload to meet deadlines while considering team and service needs
- Experience using a range of computer systems, software, and electronic platforms with confidence and accuracy
- Experience with transcribing software, or a willingness to learn and develop this skill
- Knowledge of medical terminology, or demonstrated ability to accurately collate data, transcribe reports, and prepare correspondence
- Excellent communication skills, including written, verbal, and telephone interactions with staff, patients, and stakeholders
- A strong team-focused approach, with the ability to work collaboratively and contribute to effective service delivery
Supporting Safe, Timely Patient Admissions
This role supports the effective management of surgical waitlists and patient admissions at The Maitland Hospital. Working under the direction of the Waitlist Coordinator and Administration Manager, you will ensure patients are managed in line with NSW Health and HNELHD policies, supporting timely and coordinated access to elective surgery.
You will assist with waitlist coordination, admissions, scheduling, reporting, and record keeping, while maintaining accurate data and effective communication with patients and clinical teams. Your work plays a key role in supporting safe, efficient patient flow and service delivery across the unit.
In this role, you will:
• Support surgical waitlist management and elective surgery bookings in line with NSW Health policy
• Communicate with patients, clinicians, and staff to coordinate admissions and scheduling
• Assist with prioritisation, bookings, cancellations, and enquiries
• Maintain accurate records and support reporting and data integrity
• Prepare correspondence and support administrative processes
• Use relevant systems to manage and distribute information
• Support effective teamwork and contribute to smooth unit operations
