About the role: 

Step into a role where your organisation, initiative, and attention to detail directly support better patient outcomes. As a Pharmacy Administration Officer, you will be at the centre of a busy and essential hospital service—keeping systems, people, and processes running smoothly so frontline clinicians can focus on what matters most.
This is a fast-paced, hands-on position where you’ll juggle a variety of responsibilities—from coordinating rosters and supporting recruitment, to preparing reports, managing complex data, and maintaining critical patient and departmental systems. You’ll be trusted to monitor workflows, anticipate needs, and step in where needed, often working with competing priorities and tight timeframes.
Working alongside a knowledgeable and supportive team of pharmacists and pharmacy technicians, you’ll play a key role in ensuring medication safety processes are upheld and administrative operations are delivered with precision and professionalism. Your contribution will be highly visible and valued, as you help connect the operational and clinical sides of the service.

Key Responsibilities 

  • Provide efficient administrative and clerical support, prioritising tasks to ensure smooth workflow.
  • Respond to enquiries via phone, email, and in person, delivering high-quality customer service.
  • Support the Director of Pharmacy with recruitment, rostering, leave management, and payroll functions.
  • Prepare accurate documentation, including reports, meeting minutes, correspondence, and financial data.
  • Maintain accurate records and update patient administration systems.
  • Collate information and prepare reports within tight deadlines.
  • Support pharmacy inventory management processes.

Requirements:

  • Certificates in pharmacy or administration.

  • Demonstrated administrative experience within a healthcare setting.
  • Experience using hospital information systems, including patient administration systems, payroll and procurement systems.
  • Advanced computer skills across Microsoft Office and other digital platforms.
  • Strong organisational skills with the ability to prioritise and meet deadlines in a complex environment.
  • Excellent written and verbal communication skills, with the ability to prepare clear, accurate correspondence, reports, and documentation.
  • Proven ability to problem solve, use initiative, and work both independently and collaboratively.
  • Knowledge or experience in inventory management.
