About the Role

The Southwest Brain Injury Rehabilitation Service (SWBIRS) is seeking an enthusiastic and professional Administration Officer Level 4 to join our dedicated multidisciplinary rehabilitation team. SWBIRS supports people living with acquired brain injury across the Murrumbidgee Local Health District, providing allied health assessment, therapy, education and rehabilitation coordination through community outreach and centre-based programs, working closely with Rehabilitation Physicians to deliver high quality, person-centred care.

In this role you will provide administrative support to the SWBIRS Clinical Team Leader, clinicians, consumers and families, as well as the District Allied Health & Disability Manager. You will play a key role in the efficient operation of the service through coordination of communications, meetings, reporting, purchasing, invoice preparation and processing, and day to day administrative activities. Key Accountabilities

  • Provide clerical and practical support to the MLHD Allied Health & Disability Manager, SWBIRS Clinical Team Leader and SWBIRS team.
  • Provide quality customer service to patients, employees and members of the public, ensuring a respectful and helpful response to all face to face and telephone enquiries, facilitating timely access to people and services and supporting a positive opinion of the health service.
  • Complete a range of operational, clerical and administrative tasks to support the smooth running of the service, including assistance with intake, transfers and discharges, purchasing, record management, booking services and appointments, managing postal and other correspondence, general filing, typing and copying, deliveries and pickups from other areas, and stores management.
  • Administer rostering processes for the SWBIRS team to ensure accurate payment of staff.
  • Implement and coordinate billing processes and procedures relevant to the service.
  • Prepare files for medicolegal requests.
  • Assist with more complex tasks or projects to support efficiency and quality within the service and team.
  • Make decisions and take initiative on day to day operational matters, working to established practices and procedures under general instruction and broad supervision.
  • Support the Clinical Team Leader to implement the Work Health & Safety program.

 

Essential Criteria

  • NSW Working with Children Check
  • National Police Check
  • Vaccination Category A
  • Current Class C Drivers Licence

 

Selection Criteria

  • Proven knowledge of computer applications and skills in the application of word processing, database management, analysis and reporting.
  • Proven experience working in a high workload and pressure area with a successful track record of best performance, as well as knowledge of clinical and corporate applications and work practices, and their relationship to other health care processes.
  • Demonstrated ability and initiative to work both as part of a team and independently, supporting your team members and management, with sound knowledge of administrative procedures in a health setting.
  • Demonstrated strong customer focus and commitment to providing exceptional services to all clients (internal and external to the organisation).
  • Excellent interpersonal and communication skills, including strong written and verbal English, and the capability to liaise and work professionally with stakeholders across all levels of the organisation using different modes of communication in a technical and business context.
  • Demonstrated ability to organise meetings, take minutes and undertake associated procedures.
  • Demonstrated commitment and experience applying work health and safety principles and processes in a clinical environment.
