Hawkesbury District Health Service is a teaching hospital in Windsor NSW, providing acute, community and allied health services for the local community and surrounding districts. The service provides 24-hour emergency, medical, surgical, diagnostic, maternity, neonatal, paediatric, palliative, intensive and coronary care services. 

An exciting opportunity exists for a highly organised and customer-focused Administration Officer to join our team in a vital frontline role supporting Theatre Admissions, patient enquiries, and switchboard operations. In this position, you will be the first point of contact for many patients, staff and external stakeholders, providing a high standard of customer service. You will be responsible for ensuring all incoming telephone calls are answered promptly and handled in a professional, courteous and friendly manner, in accordance with established phone etiquette guidelines, while accurately relaying messages to the appropriate personnel in a timely manner.

The role also involves the management of patient data within the hospital’s Patient Administration Systems (PAS), including processing admissions, coordinating bed transfers and completing separation (discharge) activities, in line with NSW Health and NBMLHD policies and documentation requirements. Your attention to detail and commitment to accuracy will be essential in maintaining the integrity of patient information and supporting efficient patient flow within the hospital.

In addition, you will provide administrative and customer service support across a range of departments. This diverse and fast-paced role requires strong communication skills, the ability to multitask effectively whilst working with multidisciplinary teams to ensure seamless service delivery across the organisation.

What you will bring to the role

  1. The ability to work constructively, cooperatively and efficiently with both internal and external client
  2. A high level of keyboard, PC, Database and general clerical skills, attention to detail
  3. Demonstrated high level of organisational skills, with ability to meet tight timeframes and prioritise workload
  4. Ability to work varied shifts, including evenings, nights, public holidays and weekends
  5. Well developed written and verbal communication skills with experience working in a networked PC environment
  6. Previous experience in similar Hospital or Health facility-based position
  7. Switchboard and reception experience for a large organisation
  8. Demonstrated ability in the use of tact, diplomacy, confidentiality and discretion
