About the Role
Hunter New England Local Health District is seeking a motivated and professional Administration Officer Level 4 to provide high-quality secretarial and administrative support to the Hunter Family Cancer Service, including the Forster/Taree Genetic Service
This role is based on site at the Hunter Genetics Building, Waratah Campus, and supports a multidisciplinary team including the Director, Genetic Counsellors, Intake Officer, Senior Admin Officer, Data Manager and Visiting Medical Officers. The successful applicant will play a key role in ensuring the efficient operation of clinics and the delivery of excellent service to patients and clinicians.
Key Responsibilities
Provide comprehensive administrative and secretarial support to the Hunter Family Cancer Service and Forster/Taree Service
Deliver professional reception services including primary telephone reception and client liaison
Assist with the management of the intake processes including processing of demographic and family history information and preparation of patient files
Maintain accurate records within Intake Database, TrakGene and other NSW Health systems
Prepare and retrieve patient files for weekly clinics and outreach services
Liaise with clinicians, healthcare facilities and clients to obtain medical records and correspondence
Support outreach genetic counsellors with referrals, appointments and correspondence
Reconcile monthly pathology accounts against received results
Construct and maintain family pedigrees using TrakGene
Utilise a range of NSW Health systems including ORACLE, iPM, AUSLAB, CAP, COS and others as required
About You
You are a professional, organised and customer-focused administration officer who thrives in a busy healthcare environment and takes pride in delivering accurate, timely and compassionate support to patients and clinicians.
You will bring:
Demonstrated experience providing high-level administrative, secretarial and clerical support
Excellent written and verbal communication skills, with the ability to liaise confidently and sensitively with clients, clinicians and external stakeholders
Strong organisational skills with the ability to plan, prioritise and manage competing workloads to meet deadlines
A commitment to delivering high-quality customer service to a diverse range of clients
Proven ability to work independently with minimal supervision, as well as collaboratively within a multidisciplinary team
Well-developed problem-solving skills, using initiative, judgement and discretion in a confidential clinical environment
Sound computer literacy with experience using multiple electronic systems and databases
Attention to detail and accuracy in managing patient records, correspondence and data
Experience working in a health or medical setting, including knowledge of medical terminology, is desirable
