What you'll be doing 
As an Administration Officer, you will provide high-quality reception, secretarial and administrative support to ensure the efficient operation of Day Surgery and Surgical Short Stay services. You'll be a key point of contact for patients, carers and clinicians, helping to coordinate appointments, manage enquiries and support patient flow.

Key responsibilities include:

  • Deliver professional reception and customer service, including patient arrivals, departures and appointment management

  • Manage administrative processes including data entry, document preparation, scanning, filing, Medicare-related documentation and correspondence

  • Respond to telephone enquiries and liaise effectively with patients, carers, clinicians and other departments

  • Coordinate clinic bookings, interpreter services and patient information using hospital systems including iPM

  • Support quality improvement, patient-centred care initiatives and safe workplace practices while contributing to a positive team culture

  • Demonstrated sound knowledge and competent use of IT applications including but not limited to iPM (Hospital Patient Management System) and Microsoft Office Programs (Outlook, Word, Excel)

  • Excellent reception skills & customer service including appropriate telephone manner and a patient-centric approach to service provision

  • Demonstrated high level of written, verbal and electronic communication skills to work well with a broad scope of patients, staff and affiliated organisations.

  • Demonstrated ability to work as part of a team to achieve quality patient/service outcomes

  • Proven ability to maintain professionalism when dealing with both clients and staff during stressful situations.

  • Demonstrated ability to develop and manage systems and processes to support efficient and effective service delivery.

  • Demonstrated ability to use initiative and to prioritise multiple tasks with competing timeframes with exceptional organisational and communication skills.

  • Commitment to own professional development and willingness to undertake further organisational based training when required.

  • Prior Admin officer experience in Health preferred
