The Travel and Business Support Officer is responsible for providing timely and accurate travel and business support services to customers and contribute to the efficient and effective functioning of the Corporate Services and Business Improvement Branch at the Ministry of Health.
Administrative Officer Level 6 - starting salary from $77623.74 - $79458.86 p.a. plus Super, with a 38-hour work week.
What you’ll be doing
- Provide high quality purchasing and business support functions to the Ministry of Health, and to other stakeholders as directed, by coordinating travel requests, preparing and organising travel arrangements, creating travel itineraries, and reviewing staff travel expense claims, whilst ensuring compliance with organisational policies and procedures.
- Check and validate transactions and undertake monthly reconciliations and preparation of journals for monthly travel accounts. This includes checking that all information on invoices, payments, credits, cancellations or alterations have been posted to the correct cost centre in accordance with policy and procedures and identifying, investigating and resolving any discrepancies
- Advise clients and customers on cost effective travel options through interpreting policy and supplier terms and conditions to calculate travel costs and negotiate outcomes that meet both the traveller’s needs while achieving value for money and policy compliance
- Provide a high standard of customer service to internal and external customers and stakeholders with travel related queries and negotiate resolution of issues in a timely manner, within policies and procedures and escalate where necessary
- Positive contribution to continuous improvement of travel policies and processes.
About you
We are seeking motivated and committed individuals who can support the work of NSW Health with:
- Demonstrated experience in providing high quality transactional services in a high paced environment including administering end to end travel services, and/or support functions, with sound knowledge in reviewing transactions, undertaking reconciliations and preparing journals.
- Sound oral and written communication, interpersonal, negotiation and customer service skills and the ability to liaise effectively with customers and stakeholder to provide information, advice and recommendations.
- Maintain a professional, performance driven, innovative, responsive, and supportive approach that fosters a positive team environment.
- Successfully manage relationships within the Ministry of Health and its customers by exercising sound judgement and discretion.
- Keeping abreast of and maintaining knowledge of current Travel policies, processes and requirements.
