Nepean Hospital is a teaching hospital that provides tertiary referral services in emergency care, coronary care, diagnostics, gynaecology, paediatric, neonatal intensive care/ICU, maternity, mental health, rehabilitation, and surgery. We are seeking a highly organised and proactive individual to provide efficient and confidential secretarial and administrative support to the Anaesthesia Department, including the Clinical and Deputy Clinical Directors. This role is central to the smooth operation of departmental activities and involves managing rosters, data reporting, billing, and revenue processes for both inpatient and outpatient consultations.

The successful candidate will be responsible for a wide range of administrative duties including word processing, desktop publishing, data entry, preparing agendas and minutes, and coordinating recruitment activities such as interview panels and appointment paperwork. The role also includes maintaining the department’s intranet site, managing TESL administration for staff specialists, and liaising with key stakeholders to ensure continuity of patient care. Additional responsibilities include scheduling appointments using iPM, supporting audit and research activities, and ensuring compliance with confidentiality and data handling protocols.

What you will bring to the role

  1. Demonstrated experience in working in a complex healthcare environment providing secretarial service at a senior level
  2. Excellent interpersonal, oral and written communication skills
  3. Demonstrated experience with MS Word and Excel, HPRM and HealthRoster with an ability to maintain spreadsheets and databases to provide regular monthly reports. Experience with inhouse databases such as iPM, Hosportal, HPRM and Vmoney etc
  4. Demonstrated excellent organisational and time management skills with the ability to prioritise and meet deadlines
  5. Ability to work independently and within a multidisciplinary team
  6. Demonstrated ability to learn new processes and provide flexibility in the workplace
