Join the Greater Newcastle Mental Health Service Administration Team, based at James Fletcher Hospital in Newcastle, and play a key role in supporting the teams who deliver mental health care to our community.
About the role
Reporting to the GNMHS Administration Team Leader, you will provide high-quality administrative support across the service and help ensure the day-to-day operations of Intake Services and GNACT run efficiently.
No two days will necessarily be the same. You’ll need to be comfortable managing competing priorities, responding to changing needs and working collaboratively with clinicians, Client Service Officers and leadership.
Your responsibilities will include:
- Supporting the leadership of the GNACT and Intake Services teams.
- Building, maintaining and coordinating staff rosters.
- Identifying and filling roster vacancies to support service continuity.
- Providing administrative and leadership support to Client Service Officers.
- Providing administrative and IT support to clinicians.
- Managing a range of general administrative functions, including diary management, correspondence, timesheets, leave and payroll processes.
- Preparing reports, documents and correspondence accurately and professionally.
- Coordinating meetings, including agendas, minutes, meeting papers and room bookings.
- Coordinating video and teleconferencing facilities.
- Providing professional reception and customer service to internal and external stakeholders.
- Working within NSW Health policies, procedures, legislation and Work Health and Safety requirements.
- Managing competing priorities and ensuring administrative tasks and projects are completed within required timeframes.

Experience with HealthRoster, StaffLink and EPIC (SDPR) would be highly regarded, although the right candidate will be supported to develop their skills.
Support and training
You won’t be expected to know everything from day one. Training will be provided across the required NSW Health corporate applications, with support to ensure you have the appropriate system access and knowledge to confidently perform your role.

You’ll work closely with the Team Leaders of Intake Services and the Acute Care Team (GNACT) and the Clinical Coordinator, providing essential administrative, rostering and operational support. Your work will help enable clinicians and service leaders to focus on what matters most; providing quality care to people accessing mental health services.
