Where you'll be working
You will be joining Hunter Genetics, a specialist service delivering both General Genetics and the GOLD (Genetics of Learning Disability) Service. The team provides comprehensive, patient-centred care to the community across Newcastle and Sydney.
Located at the Waratah Campus on Turton Road, the service is within walking distance of Waratah Shopping Village and offers convenient free on- and off-street parking.
Hunter Genetics is supported by a multidisciplinary team including Clinical Geneticists, Genetic Counsellors and a dedicated Administration Team. About the role
This is a varied and rewarding role within the administration team, with a key focus on managing intake processes for new referrals.
As an Administration Officer Level 3, you will act as the first point of contact for patients and play a critical role in supporting access to specialist genetic services.
Key responsibilities include:
- Acting as the initial contact point for patients via phone, email and face-to-face interactions in a professional, empathetic and culturally appropriate manner
- Assessing patient needs, risks and eligibility for services, including identifying and escalating urgent or high-risk matters
- Collecting and accurately recording patient information, including family and medical histories, in relevant databases and systems
- Reviewing referrals against eligibility criteria and coordinating appropriate next steps
- Providing clear information regarding processes, wait times and service expectations
- Booking appointments and maintaining accurate administrative records
- Supporting continuous improvement of intake processes and patient experience
This role requires sensitive communication, as you will regularly engage with patients and families navigating complex and sometimes serious genetic conditions.

- Strong communication skills, with the ability to engage effectively and sensitively with patients, families, clinicians and external stakeholders
- Ability to gather accurate and relevant information via phone and electronic communication
- High level of accuracy and attention to detail, particularly when managing patient data and clinical information
- Proven ability to organise, prioritise and manage competing tasks in a fast-paced environment
- Strong customer service skills, including empathy, active listening and professionalism
- Ability to work both independently and collaboratively within a multidisciplinary team
- Competence in using computer systems, databases and electronic records
- Flexibility and adaptability to changing service demands
Previous experience in administration or healthcare is desirable, particularly in roles involving patient interaction and data management.
