Nepean Hospital is seeking a highly organised and proactive Executive Assistant to provide high-level secretarial and administrative support to the executive management team. This role involves preparing and researching documentation such as business plans, presentations, reports, and internal briefings, as well as managing agendas, minutes, and follow-up actions for meetings and committees. You will be responsible for coordinating diaries, screening calls, prioritising correspondence, and ensuring timely responses to critical matters, even in the absence of executive staff. The position also includes managing sensitive records in line with departmental policies using HPRM, overseeing office documentation, and supporting business processes such as purchasing, recruitment, and rostering. A key part of the role is delivering exceptional customer service at the Executive Office reception.

What you will bring to the role
- Demonstrated high level interpersonal, written and verbal communication skills applied to producing a range of complex business correspondence and reports.
- Highly developed administrative/organisational skills in a demanding environment with competing and changing priorities.
- Provision of high level secretariat support to relevant committees including the preparation of agendas, business papers and minute taking that also incorporates managing action items effectively.
- Demonstrated analytical and problem solving skills applied to identifying and resolving service delivery gaps with the ability to present findings in a clear and comprehensive manner.
- Demonstrated ability to anticipate and meet the needs of a senior executive without instruction, to exercise initiative and to work unsupervised.
- Extensive experience using an electronic records management system such as HPRM.
- Demonstrated experience in providing administrative and secretarial support at an Executive level, including a proven ability to operate efficiently in an environment demanding confidentiality and discretion in issues management.
- Advanced proficiency in preparing various documentation: memorandums, letters, internal briefings, reports and presentations using Microsoft Office.
