Are you an organised and compassionate administration professional who enjoys working with people and making a difference? The Transitional Aged Care Program (TACP) is seeking an enthusiastic Administration Officer Level 4 to join our team at Wallsend Health Campus, Wattle Grove Cottage.

 

About the Role

The Transitional Aged Care Program provides short-term, rehabilitation-focused care to older people following a hospital admission. Our goal is to support clients to regain their independence, improve their function and successfully return to living in their own homes.

As an Administration Officer, you will provide essential administrative and coordination support to the program, with a particular focus on coordinating brokered support services for clients.

You will work closely with our multidisciplinary clinical team, clients and their families, advocates and external service providers to ensure services are coordinated effectively and clients receive the support they need.

Key responsibilities include:

  • Coordinating and arranging support services with external providers in a timely and efficient manner.
  • Developing and maintaining positive working relationships with service providers and liaising with them regarding client needs and requirements.
  • Maintaining accurate and up-to-date client records, including monitoring services and changes to client requirements.
  • Reconciling service provider invoices against client services and maintaining accurate database records before forwarding invoices for processing.
  • Generating monthly reports and assisting with monitoring brokerage expenditure.
  • Organising transport services for clients attending medical and other essential appointments.
  • Responding to enquiries from clients, families and advocates and assisting to resolve service-related issues.
  • Liaising with the multidisciplinary team and external providers to support effective communication and continuity of care.
  • Undertaking general administrative duties to support the smooth day-to-day operation of the program.


The position reports to the Nurse Manager of Aged Care Services and works collaboratively with the wider TACP team and key stakeholders.

 

About You

We are looking for someone who is organised, adaptable and genuinely committed to providing a positive experience for older people.

You will have excellent communication and interpersonal skills, with the ability to build respectful and positive relationships with clients, families, health professionals and external service providers.

To be successful in this role, you will demonstrate:

  • Relevant qualifications and/or experience consistent with an Administration Officer Level 4 position.
  • Demonstrated administrative experience, including accurate record keeping, data entry and database management.
  • Strong organisational skills and the ability to prioritise competing demands and meet deadlines.
  • Excellent communication and interpersonal skills.
  • The ability to work effectively both independently and as part of a multidisciplinary team.
  • Initiative, flexibility and adaptability when responding to changing client needs and priorities.
  • Strong attention to detail and a professional, positive approach.
  • Empathy, patience and a caring approach when working with older people and their families.


Previous experience in aged care, community health, rehabilitation or a healthcare setting would be highly regarded, as would experience coordinating external services, invoice reconciliation, financial reporting or knowledge of aged care and community-based services.

Support and Development

You will receive a comprehensive orientation and be supported by the Nurse Manager, experienced administrative staff and the wider TACP team as you transition into the role.

Initial training will cover the systems, processes and procedures relevant to the position, including client record management, coordination of brokered services, invoice reconciliation and reporting.

You will have the opportunity to shadow experienced team members and progressively take on responsibilities as your confidence and knowledge develop.

Ongoing support, education and training will be available, with opportunities to build your knowledge in aged care, community rehabilitation, service coordination and health administration.

Mandatory training will be completed through the My Health Learning online portal.

Provide efficient and effective secretarial and administrative support services for the Health Service Manager / Director of Nursing & Midwifery, and others as directed.
