Achieve Something Great

Are you an experienced and motivated administrator looking to play an essential role in senior medical recruitment across one of NSW’s fastest growing health districts? South Western Sydney Local Health District (SWSLHD) is seeking a dedicated Staff Specialist/VMO Coordinator to provide high level administrative support to our Medical Administration Unit. In this key position, you will oversee end to end recruitment and appointment processes for Staff Specialists and VMOs, ensuring all documentation, compliance requirements and approvals are completed accurately and on time.

Working closely with senior medical staff and internal stakeholders, you will manage contracts, maintain workforce records, prepare submissions for the Medical and Dental Appointments Advisory Committee (MDAAC), and support VMO quinquennial reappointments. This fast paced role is ideal for someone with strong organisational and communication skills who thrives on balancing multiple priorities. If you’re passionate about supporting the medical workforce and want to make a meaningful impact in a supportive team environment, we’d love to hear from you.

Are You the Right Fit?
The ideal candidate will demonstrate the following :

  • Demonstrated experience coordinating end to end recruitment processes, ideally within senior medical or specialised roles, supported by strong administrative capability and attention to detail.
  • Highly organised, able to prioritise tasks, manage competing deadlines, and adapt to changing workflow requirements in a fast paced environment.
  • Excellent verbal and written communication skills, with the ability to deliver professional customer service and work effectively with stakeholders at all levels, including senior medical staff.
  • Confident working both independently and as part of a collaborative team, demonstrating initiative, flexibility, and a proactive approach in busy administrative settings.
  • Proficient in Microsoft Office and TRIM, with the ability to learn new systems quickly and maintain accurate documentation, contracts, and workforce records.

Selection Criteria
To help us assess your suitability for the role, please tell us as much as you can about yourself in response to the questions below.

  • Can you describe your experience coordinating recruitment processes for senior medical staff or similarly specialised roles? In your response, please outline the specific stages you managed and the systems or tools you used to ensure accuracy and compliance
  • Give an example of a time you had to manage multiple competing deadlines while communicating with stakeholders at different levels including senior medical staff. How did you prioritise your workload and ensure timely, courteous, and accurate communication?
