Blue Mountains District ANZAC Memorial Hospital is an acute hospital that supports a population of approximately 80,000 and is the only ANZAC Memorial hospital remaining in NSW. We are seeking an organised and customer focused Administration Officer to provide frontline reception services for our outpatient clinics at Blue Mountains Hospital. This role involves managing telephone and counter enquiries in a professional and friendly manner, scheduling and maintaining appointments in iPM, and ensuring accurate patient registrations and demographic updates. You will coordinate interpreter bookings, prepare and process Medicare billing, manage referrals, and handle medical records with precision. Additional responsibilities include managing mail, preparing correspondence, and liaising closely with medical officers, clinic staff, and GPs to ensure smooth clinic operations. Confidentiality, integrity, and discretion are essential, along with strong interpersonal and organisational skills to deliver exceptional customer service and meet patient needs. Job share arrangements may be considered for the right candidates.

What you will bring to the role

  1. Extensive administrative knowledge and experience, including reception duties, with effective customer service skills
  2. Demonstrated excellent oral and written communication skills
  3. Excellent organisational and time management skills, with the ability to organise and to prioritise work effectively to meet deadlines/timeframes with attention to detail
  4. Ability to work independently and within a multidisciplinary team
  5. Demonstrated ability to prioritise, co-ordinate and time manage daily tasks
  6. Understanding of Activity Based Funding (ABF) and outpatient billing
