About the Role

The Maitland Hospital is seeking a dedicated Administration Officer to join our dynamic and growing Outpatient Clinics team. In this role, you’ll support the smooth coordination of multiple specialist services, providing both patient-facing and behind-the-scenes administrative support to keep our clinics running efficiently.


You’ll be responsible for:

  • Coordinating patient appointments and arrivals across various clinics
  • Managing incoming referrals and waitlists
  • Handling Medicare billing and reporting requirements
  • Supporting referral management and call centre functions
  • Typing clinical notes via dictaphone and assisting with general clerical duties

     

     

This role requires exceptional time management, a commitment to customer service, and the ability to operate across various platforms in a high-demand environment. It’s ideal for someone who enjoys a diverse workload and wants to make a meaningful impact within the hospital setting.

What you’ll need to succeed

To thrive in this role, you will need:

  • Proven experience in a healthcare or hospital administrative setting
  • Familiarity with patient administration systems (e.g. iPM) is highly desirable
  • Excellent customer service skills and a professional manner – you’ll be a key point of contact for patients
  • High attention to detail and strong time management
  • The ability to work independently while contributing to a team

 

You will also bring:

  • Outpatient and waitlist experience
  • Medicare billing knowledge
  • Capability to manage referrals and coordinate reporting
  • Flexibility to work rotating Wednesday shifts: 7:00am–3:30pm, 7:30am–4:00pm, or 8:00am–4:30pm
