About The Role: 

Join one of the busiest and most dynamic Paediatric Outpatient services in NSW, supporting the care of approximately 27,000 children every year. The John Hunter Children’s Hospital (JHCH) Paediatric Outpatient Department is seeking a dedicated and proactive Level 3 Administration Officer to become a key part of our highly valued team.

As am Administration Officer you will play a vital role in supporting the coordination and smooth running of the Paediatric Outpatient clinics. Working collaboratively with a team of over 40 specialists and under the guidance of the Outpatient Operational Manager, your work will directly support the delivery of high-quality care to children and their families.

Your responsibilities will include:

  • Coordinating patient appointments with care and precision

  • Managing clinic waitlists to maximise efficiency

  • Delivering exceptional frontline customer service to patients and families

  • Liaising with medical staff to ensure seamless clinic operations

  • Supporting senior administrative staff in day-to-day clinic workflows

 

We are seeking a highly organised and compassionate individual with:

  • A strong background in administration and clerical support

  • Excellent communication and interpersonal skills

  • Exceptional attention to detail and accuracy in all tasks

  • Ability to prioritise workloads and manage competing demands

  • Proven problem-solving abilities, with a focus on achieving positive outcomes for patients

  • A friendly, team-oriented attitude, with the ability to also work autonomously

  • Empathy and sensitivity to the diverse needs of families and children in a healthcare setting

  • Proficiency in using hospital systems such as IPM and RIMS (or willingness to learn)

  • Experience in an outpatient clinical environment will be highly regarded
