About the Role
This is not your standard admin job — we’re looking for a proactive and adaptable Administration Officer to join our Hospital in the Home (HITH) team based at Newcastle Community Health Centre.
In this full-time position, you’ll be the key admin support for a growing suite of services including Hospital in the Home, Healthy at Home, and potentially RAC-I (Residential Aged Care In-reach) making this an exciting opportunity for someone who thrives on variety.
This isn’t a siloed desk job — you’ll juggle fleet bookings, manage data across multiple systems, coordinate with multidisciplinary clinical teams, handle calls, support clinical documentation, and help keep audits on track. Some days you'll be on phones, other days you might be streamlining processes or keeping the wheels turning on operational priorities. No two days are the same — and that's just how you like it.
You'll work closely with a Clinical Support Officer, a Medical Secretary, and report directly to the Service Manager, with support available throughout your onboarding. With trams and buses at the door and shops and cafes nearby, you’ll enjoy the buzz of being based in Newcastle's vibrant health precinct.
In this role, you'll:
- Be the go-to admin for our Hospital in the Home services, supporting multiple programs as they evolve
- Manage incoming enquiries and phone calls, triaging and redirecting as needed
- Coordinate car fleet bookings and monitor equipment or supplies
- Assist with clinical system data entry and contribute to the upcoming transition to the new SDPR system
- Maintain audit records and general compliance documentation
- Work collaboratively across disciplines with nurses, physios, doctors, and patients
About You
You’re a sharp, confident communicator who thrives in a fast-paced, people-focused environment. You bring initiative, flexibility and a level head to every situation — and you’re not afraid to roll up your sleeves and take the lead on admin operations.
You’re someone who:
- Is experienced in health admin and can comfortably navigate multiple systems
- Can flex between routine tasks and sudden priorities — without missing a beat
- Brings excellent verbal and written communication skills across all staff levels and with patients
- Knows how to work independently, while contributing strongly to a multidisciplinary team
- Has an eye for process improvement and an eagerness to grow with the role
- Is ready to learn new systems and tech — including preparing for the rollout of SDPR\
