An appealing permanent part-time (28 hours per week) opportunity exists for a highly experienced administration officer to be appointed as Executive Assistant to the Manager of Rehabilitation and Aged Care Services (RACS), Outpatient Services and Allied Health, and the Manager of Corporate Services at Hornsby Ku-ring-gai Hospital (HKH).

Where you'll be working: Hornsby Ku-ring-gai Hospital

What you'll be doing
: The position is required to coordinate the full range of administrative and clerical support services including maintain diary, monitor and screen telephone enquiries; manage the incoming communications as agreed with the Executive, including all correspondence, email, telephone, fax and note appropriate tracking protocols to ensure deadlines are met; manage work priorities and workflow within allocated resources to support efficient and effective service delivery; prepare accurate and concise reports, briefings, correspondence and other documentation to clearly communicate required information to a range of audiences; provide high level secretariat support to meetings and committees as required, including preparation and appropriate distribution of documents such as agendas, minutes and supporting documents in a timely manner; develop and maintain effective relationships with staff and key stakeholders to facilitate the delivery of high-quality patient/client focused services; develop and maintain databases for mailing, staff and other lists and provide asset inventory control (i.e. stationery, equipment) as required; maintain corporate records to ensure accurate recording, safe storage and timely responses for information upon request; provide support across the EA team if required in times of exceptional demands. The position is required across 4 days per week (Monday, Wednesday, Friday- non negotiable, plus a preference for Tuesday as the additional day) with hours of 9am- 4:30pm and works within a team of Executive Assistants for the HKH Executive.

Candidates will need to meet the following criteria: 

  1. Strong communication skills with the ability to liaise and engage with internal and external stakeholders including consumers, patients and the public, staff and NSW Health, and government agencies.
  2. Demonstrated experience in providing administrative support at an executive level including preparing high level written correspondence (letters, briefs, and memos).
  3. Demonstrated organisational skills with the ability to meet critical deadlines in a high volume environment with minimal supervision.
