Hawkesbury District Health Service is a teaching hospital in Windsor NSW, providing acute, community and allied health services for the local community and surrounding districts. The service provides 24-hour emergency, medical, surgical, diagnostic, maternity, neonatal, paediatric, palliative, intensive and coronary care services.

We are seeking a highly organised and professional Executive Assistant to provide high-level secretarial and administrative support to the Director of Medical Services across Hawkesbury, Blue Mountains, Springwood and Lithgow Hospitals.

In this key role, you will manage executive administration, coordinate meetings and correspondence, maintain confidential records, and provide reception and office support to the executive team across multiple sites. You will be responsible for ensuring the smooth day-to-day operation of the Director's office while building effective relationships with a broad range of stakeholders.

Key to your success is proven experience in supporting senior executives, exceptional organisational and communication skills, strong attention to detail, and the ability to manage competing priorities in a fast-paced environment. What you will bring to the role

  1. Demonstrated high level interpersonal, written and verbal communication skills applied to producing a range of complex business correspondence and reports.
  2. Highly developed administrative/organisational skills in a demanding environment with competing and changing priorities.
  3. Provision of high-level secretariat support to relevant committees including the preparation of agendas, business papers and minute taking that also incorporates managing action items effectively.
  4. Demonstrated analytical and problem-solving skills applied to identifying and resolving service delivery gaps with the ability to present findings in a clear and comprehensive manner.
  5. Demonstrated ability to anticipate and meet the needs of a senior executive without instruction, to exercise initiative and to work unsupervised.
  6. Extensive experience using an electronic records management system such as HPRM.
  7. Demonstrated experience in providing administrative and secretarial support at an Executive level, including a proven ability to operate efficiently in an environment demanding confidentiality and discretion in issues management.
  8. Advanced proficiency in preparing various documentation: memorandums, letters, internal briefings,reports and presentations using Microsoft Office.
