About the Role
We are seeking Expressions of Interest for staff wishing to act in an Executive Assistant role for a period of approximately 6 months.
This role provides comprehensive, high level administrative support to the Director and their team, ensuring the efficient and timely coordination of all administrative functions in accordance with Mid North Coast Local Health District policies and procedures. It plays a key part in supporting leadership by managing complex workflows, prioritising competing demands, and maintaining effective systems that enable smooth day-to-day operations.
The position is responsible for preparing, editing, and finalising a wide range of professional documents, including briefs, reports, correspondence, procedures, and meeting minutes, while maintaining clear, respectful, and professional communication with both internal and external stakeholders. It also contributes to the development and implementation of procedures, standards, and practices relevant to the service area, supporting continuous improvement and operational excellence. In addition to providing executive support, the role assists with workforce administration such as rostering, recruitment, leave management, and payroll processes, as well as coordinating accounts payable and receivable activities through systems like iProcurement. It also manages travel and accommodation arrangements for staff and supports the coordination of databases, and communication platforms.
A key function of the role is to proactively manage the Director’s schedule and priorities, including diary management, correspondence tracking, screening enquiries, and ensuring deadlines are met. The position also oversees records management, ensuring all information is accurate, secure, and easily accessible, and responds to enquiries to support timely and effective issue resolution.
More broadly, the role provides high-level administrative support to the wider Directorate, contributing to a culture of continuous improvement, and actively supports patient safety, clinical quality, and innovation initiatives to promote the best possible health outcomes.
About You
You bring proven experience providing high level administrative support within complex organisational environments, with a strong understanding of how to effectively support senior leaders while managing competing priorities. Your well-developed interpersonal and communication skills enable me to engage confidently with a wide range of stakeholders, delivering clear, professional communication both verbally and in writing.
You are highly organised and able to prioritise workloads in fast paced, dynamic settings, consistently meeting deadlines while maintaining attention to detail along with advanced computer skills across core applications including Outlook, Word, Excel, and PowerPoint, as well as experience working with specialised systems, allowing me to produce accurate, high-quality work efficiently.
You are a self-motivated and adaptable professional who can work both independently with minimal supervision and collaboratively as part of a team. Someone who can take initiative, demonstrate sound judgement, and accept responsibility for your work, contributing to the achievement of strategic and operational outcomes. Your strong organisational and time management skills support your ability to perform effectively in high-volume, demanding environments while remaining flexible and responsive to changing priorities.
